Find Reasons for Stoppage

Depending on your access permissions the list of events might not be visible.

Open the Reasons for Stoppage module in the Master Data section:

The columns that are available in the list that is presented when opening the module:

  • Reason for Stoppage

  • Reason for Stoppage Code

  • Reason for Stoppage Type

Bulk Update

An option to update fields for multiple instances in a list. Each list will show different fields that need to be configured first, otherwise an empty window will be shown.

1) Click on the Bulk Update button to select an instance. A highlighted Bulk Update button with the "x" icon indicates that you are in edit mode.

2) Select which rows you want to update by clicking on the checkbox. You can select all the instances in the page by selecting the topmost checkbox.

3) Click the Update button on the right corner to view the available fields for bulk updating.

4) Update the fields. Click Confirm to save the changes.

5) Click Bulk Update button to exit edit mode.

Find inactive Reasons for Stoppage

From the list of Reasons for Stoppage you can access any inactive entities using the using the "Inactive" quick filter in the top right hand corner as indicated below.

Create Reason for Stoppage

  1. Open the Reasons for Stoppage module in the Master Data section.

  2. Fill in all required fields listed below in the Create Reason for Stoppage window.

  3. Click Create.

Required fields:

  • Reason for Stoppage Description

  • Reason for Stoppage Code

  • Reason for Stoppage Type

Click Create Reason for Stoppagein the top right corner.

Maintain Reasons for Stoppage

When clicking a Reason for Stoppage in the Reasons for Stoppage list, a drawer will appear.

All fields except Reason for Stoppage status can be edited.

Find events

Depending on your access permissions the list of events might not be visible.

Open the Events module in the Master Data section:

Create Events

  1. Open the Events module in the Master Data section.

  2. Fill in all required fields listed below in the Create Event window.

  3. Click Create.

Required fields:

  • Event Name

  • Event Code

  • Event Type

    • Cargo Port

    • Port Call

  • Sort Order

Click Create Eventin the top right corner.

Find inactive events

From the list of events you can access any inactive entities using the using the "Inactive" quick filter in the top right hand corner as indicated below.

Invoices List

List of all invoices

This list is showing all invoices with status Assembled, ready for posting, and posted.

All-filter includes payable and receivable. This can be changed to show only receivable or only payable.

By clicking the More-filter you can set filter for Port, Account and Currency.

By clicking the AZ-icon you will see the sorting options available. By default the list is sorted by created date descending.

Pending Receivable List

List of all document lines that are receivable

When you enter the page you will be prompted to select voyages you would like to see in the list. Voyages can be altered later also. When clicking the field a list of selectable voyages will be shown in a list.

In the top left corner you will find the voyage selector. Here you can select or deselect voyages as you work with the list. The Reset Data button will fetch fresh data from the server for the document lines in the list.

By clicking the pen icon on a document line you will get a dialog where you can edit the document line.

Maintain Events

When clicking an event in the Events list, a drawer will appear.

All fields except Event status can be edited.

Invoices

Contains invoices list, pending receivable list, pending payable list and pending hire payable list

Select the tab corresponding to the view you would like to see in the invoices module.

Invoices is showing a list of invoices of various statuses

Pending receivable is showing a list of pending document lines for receivable items

Pending payable is showing a list of pending document lines for payable items, except hire payable

Pending hire payable is showing a list of pending document lines for hire payable items

Invoice drawer

The label chip next to the Document ID is showing the current status of the invoice. If the status is Assembled, you can change the status to:

Back to Pending (dissolve the invoice), Ready for Posting or Posted. When the status is Ready for Posting or Posted you can not change the status. If the status is set to Pending the invoice will be dissolved, and the corresponding document lines can be found in the corresponding Pending list.

If you click on a document line, you will se more information for the specific document line.

Pending Payable List

List of all document lines that are payable except hire payable

When you enter the page you will be prompted to select voyages you would like to see in the list. Voyages can be altered later also. When clicking the field a list of selectable voyages will be shown in a list.

Pending Hire Payable List

List of all document lines that are Hire Payable

When landing on the page if there is no contract selected you will be prompted with the above dialog where you can select the contract. On contract can be viewed, not multiple contracts at the same time.

In the top left corner you will find the Time Charter Contract selector and the reset data button. You can change the selected TC-contract. If you click the reset data button you will get fresh data from the server for the selected TC.

Offhire

The Offhire module can be located from the menu under Operations.

Assemble invoice lines into an invoice

Select the document lines you want and click assemble

An assemble modal will open and some of the fields will be pre-filled. Make sure all mandatory fields (marked with *) are entered and click Confirm. The assembled invoice will open in a drawer.

Find Offhire

Offhire List and Filters

Open the Offhire module in the Operations section.

By using the list of offhires that opens from the Offhire module, you can use the quick to find the offhire you are looking for.

Offhire Panel

When you have located an offhire, click on it and the details will show in a panel (so called "drawer") on the right hand side. The panel will also open after creating a new offhire.

The panel contains an Overview tab for maintaining an offhire and managing bunker consumption, and an Various Cost/Revenue tab for maintaning cost and revenues for an offhire.

Status

In the header of a selected offhire panel, the current status can be viewed. Clicking on it will activate a dropdown menu and a new status can be selected. An offhire can have one of the following statuses:

The top section of the overview tab contains key information about an offhire.

Main Details and Days

Result Impact

In this section, there are two checkbox that indicate whether the offhire should be deducted from the charterer, owner or opex. The Deduct from hire receivable (charterer) checkbox is only active if the offhire's voyage is a Time Charter. These field will also activate the corresponding bunker consumption table for editing.

Bunker Consumption Tables

Two tables show information about bunker consumption for the charterer and the owner/opex. Each table contains 4 rows with information about the quantity and bunker price for each bunker type (FO, LS FO, LS MGO, MGO).

If the offhire period in on a time-charter-in voyage, the second table will show the owner's bunker consumption. Otherwise it will show the opex's bunker consumption.

Adding/Editing quantity and bunker price

  1. Click on a bunker type row.

  2. Change the fields in the Edit Bunker Consumption window.

  3. Click Confirm.

Comments

The Overview tab also contains a comments section.

The drawer also contains a tab.

Go to the OperationsOffhire module and open an offhire in the drawer.

Each field narrows down the next choice, e.g. choose vessel first, then voyage, then charterer. The fields are enabled accordingly.

At least one cargo port MUST be chosen.

Cargo ports in the panel list are sorted ascending by the cargo port's port call sequence .

Adding a cargo port:

  1. Selected cargo port(s).

  2. Click Create. The new cargo port will appear as a new panel in the panels list

Cargo ports listed in create dialog are NOT already included in the laytime calculation.

Each panel contains a summary of the cargo port with the following fields:

  • Reason for call

  • Port

  • Terminal

  • Quantity

  • Commodity

Removing a cargo port:

  1. Click Remove in the dialog that appears to confirm removal.

Cargo ports that have been removed can be re-added by clicking the create icon as mentioned above.

In the cargo ports section, click the create iconin the right corner.

Timesheet

Time Not To Count List

The cargo port panel contains a list of all periods not to be counted.

Time to count can also be viewed in the table and are calculated after each new not to count period is added. They are not editable.

Adding a new not to count period

  1. Fill in all required fields listed below in the Add Time Not to Count window.

  2. Click Create.

Field Conditions

A webhook subscription can only have an Object Type and an Event Type or an Alert Script. The corresponding fields are disabled to match this condition.

If the Channel Type chosen is HTTP, then the URL field must also be filled in.

When choosing HTTP as Channel Type, you can also choose whether to add the Password, Access Token or Request Access Token fields.

The panel contains two tabs for maintaining a webhook subscription and viewing the notifications:

In the Overview tab you can view details, as well as subscribe or unsubscribe to the selected webhook subscription.

Delete Bills of Lading

  1. Open the Bills of Lading module in the Operations section.

  2. Open the Bill of Lading drawer.

  3. Click Delete.

  4. Click Confirm to delete the bill of lading.

You cannot delete a bill of lading if it has status "released". You must first change the status to "not released".

Click the more iconat top right.

Create Bills of Lading

Start typing in vessel name and select from the drop down. Once the appropriate vessel is selected you may select port call from the drop down. The port call drop down will show discharge ports and voyage reference for the selected vessel. Choose the correct voyage/discharge port.

Next you need to choose Consignee and Notify party from the drop-downs. These fields are retrieved from the sub-cargo level of a cargo. Please see screenshot below from the sub-cargo modal where the two fields for consignee and notify party is highlighted in red:

When the required fields are filled in, you select the corresponding sub-cargo(s) from the table, and click create in the Bills of Lading modal.

In the top right corner in the Bills of Lading screen, click the createicon. You will then see a modal where you need to enter the required information in order to create a Bill of Lading.

Edit Bills of Lading

All fields except Vessel and Port can be edited from the drawer.

By clicking the cargo in the bottom table a modal will open where you can edit the cargo itself, and maintain relevant figures that will appear on the B/L when you print it.

You can enter comments to the B/L in the system - these will not appear on the printed version. Any comments that are added can be edited or deleted by clicking the three dots to the right of the comment.

Attachments

Select attachments in the drop-down menu

Once the attachments is clicked in the drop-down menu this modal will appear and you can drag and drop into the grey area, or simply click the grey area to browse your computer for files to add as attachments

If there are attachments they will appear in the table of the modal

Notification

Webhook Subscription Panel Tab

In the Notification tab you can view a list with the notifications sent to the selected webhook subscription endpoint.

The list is filled with the following fields:

Voyages

Voyage drawer

Summary

The top of the voyage drawer "Overview" tab has four summary cards for TCE, total days, hire costs and bunker costs.

Click See More to open detailed charts for the numbers in the summary.

Result

The "result" chart is a waterfall chart for costs and revenue on the voyage. Hover the mouse over the bars to see further details behind the calculation.

Days

The "days" chart has a timeline chart for the port calls on the voyage and a table of the total days on voyage.

The port calls timeline shows the days at sea and days in port. It also shows the names of the ports above the bars. Hover the mouse over each bar to see more information.

To open the voyage drawer, go to the CoreVoyages module.

Find Voyages

Depending on your access permissions the list of voyages might not be visible.

The "Voyages" module can be located from the menu under "Core".

From the list of voyages using filters

Create Voyages

  1. Open the Voyages module in the Core section.

  2. Fill in all required fields listed below in the Create Voyage window.

  3. Click Create. A default cargo will be created for a Voyage Charter, and a default TC Out will be created for Time Charter Out

Required fields:

  • Vessel

  • Load Port / Delivery Port

  • Discharge Port / Redelivery Port

By default, new voyages have Voyage Progress set to "Estimate" and Voyage Status set to "T".

Having the list of voyages open in the Voyages module you can use to find the voyage you are looking for. You can also click My Voyages to find the voyages where the logged in user is set as responsible operator.

Click the create iconin the top right corner and select between "Voyage Charter" or "Time Charter Out"

Update Speed and Consumption

In the Speed and Consumption section in the voyage drawer you can update the various fields for consumption for a voyage. This section can be found in the Overview-tab in the voyage drawer.

When the drawer is opened you will find the section like this:

In order to expand the section to see and edit the fields, click the icon on the far right of the section.

Once the expand icon is clicked the fields will be displayed like this example:

Note that if the field for Speed Laden or Speed Ballast is changed in the vessel section it will also affect the corresponding field in this section as well, and vice versa.

Print Sea Waybills

In the drop-down menu, click "Print Sea Waybill" and a new window will open with a printable version of the Bill of Lading

Maintain Voyages

Change of vessel and ballast port

Vessel and ballast port can only be changed when the voyage status is "estimate" or "unallocated".

Sections

Voyages on a time charter will have a "TC contract" section, while all other voyages will have a "Performance Cargo" section instead.

Vessel Section

Speed Laden: Showing the speed for laden port calls if all port calls have the same speed. If port calls has different speeds this field will be disabled and the text will be: Multiple. Changing this value will update speed for all laden port calls.

Speed Ballast: Showing the speed for ballast port calls if all port calls have the same speed. If port calls has different speeds this field will be disabled and the text will be: Multiple. Changing this value will update speed for all ballast port calls.

Performance Cargo Section

Days Extra In Port: Showing the average days extra in port for load and discharge port. Only enabled when days extra in port is the same for all port calls within a reason for call. When updating all port calls within a reason for call will be updated. Days extra in port can also be updated when editing a port call.

The details of a voyage can be edited in the CoreVoyages module.

When you have , click it and the details will show in a drawer or panel on the right hand side. Field values can be edited directly.

Sections are used to show the most important information about a sub-item of the voyage. Some sections have an Openbutton to open the section's item in a new drawer.

Schedule

The "Schedule" section in the Voyage drawer shows a timeline of port calls on a voyage. You can create, rearrange, delete and edit port calls directly from this screen.

Managing port calls

When hovering the mouse over a port call in the schedule, a toolbar in the upper right will appear.

Locking voyage start date and ballast port

In the voyage drawer at the schedule section you will find a checkbox for locking the update of voyage start date and ballast port. This checkbox is not visible while the voyage has status Estimate or Unallocated.

To insert a port call before or after the port call you are editing, click the Create Newbutton and select Before or After. A window to create a new port call then opens.

To edit a port call, click the Editbutton.

To delete a port call, click the Deletebutton.

To change the order of port calls, click and drag the Movebutton to move the port call into place.

Delete Voyages

Voyages of status "Estimate" and "Unallocated" can be deleted. Otherwise you must change the status before you can delete.

  1. Click to open the voyage you want to delete.

  2. Click Confirm to delete the voyage.

Go to PlanningMaster Fleet Plan.

At the upper right corner of the panel, click Delete.

Manage Organisational data for a voyage

Information about the tab "Organisational data"

In the Organisational data tab in the voyage drawer you can edit information about: Company, Business Unit, Pool, Responsible Charterer, Responsible Operator and Responsible Accountant.

To edit any field in the tab, click into the field and start typing. Then select the desired option. Field will automatically save when you click outside or use tab key to exit the field.

Company and Business Unit are mandatory fields if the voyage status is NOT Estimate or Unallocated.

Change voyage status

A voyage can have the following statuses:

only applicable in voyage status Estimate, Scheduled Unallocated and Scheduled Allocated

Bunker prices can be changed from the Overview /Bunker tabs.

How to configure voyage as a “Last TC voyage”

In the voyage drawer at the vessel section you will find a checkbox for setting "Last Voyage for Current CP". This checkbox is disabled when there is no TC In Contract registered.

Edit Daily Hire

Only applicable when the voyage does not have TCin

In order to get a complete voyage result estimation it is possible to edit the daily hire and address commission for vessels/voyages that does not have TC-in present in the system.

The fields next to the vessel can be edited if no TC-in is present

Depending on your access permissions the list of business partners might not be visible.

Open the Business Partners module in the Master Data section.

Sensitivity Analysis

With the Sensitivity Analysis tool you can run calculations on a chosen parameter to evaluate risk.

The sensitivity analysis can be opened from one of the following modules:

  1. Click on a voyage in the list or board to open it in the drawer.

  2. Select Voyage Sensitivity Analysis.

Select a voyage parameter which is then adjusted by the numerical variance for each calculation.

Reading the chart

The chart shows the all the calculated values for the voyage. There are 15 data points, with the current voyage displayed in the middle, with negative variance on the left side, and positive variance on the right side.

Hover the mouse over the chart to inspect the values of each calculation data point.

Intake Calculation

With the Intake Calculation function you can change parameters of a voyage to get an overview of quantities available for cargo at the port calls.

The intake calculation function can be opened from one of the following modules:

  1. Click on a voyage in the list or board to open it in the drawer.

  2. Select Voyage Intake Calculation.

At the top, fields for changing the stowage and bunker properties for the entire voyage are displayed.

Port Calls

A table of all the port calls on this voyage is shown in this section. To change the intake reduction properties per port call, click a row to open a window where you can make adjustments.

Water Salinity

One of Saltwater/Brackish Water/Fresh Water. Affects the water density.

Water Density

Density of the water at port. Higher value increases intake.

Draft

Intake draft reduction of the vessel. Lower value increases intake.

Safety Margin

Safety margin for the draft. Default value is 20%. Lower value increases intake.

Constant Reduction

Intake constant reduction of the vessel. Lower value increases intake.

Fresh Water Reduction

Intake fresh water reduction of the vessel. Lower value increases intake.

Loadline information

Chart

A mixed chart of the calculation results is generated at the bottom. Each port call has multiple graphs to show the reductions, cargo quantity and quantity available for cargo. The charts gets updated automatically when there are changes to the voyage header, port call, or vessel parameters.

Click on the legends at the top of the chart to toggle the display of a graph. Hover the mouse over the chart to inspect the values of each calculation data point.

The loadline information table shows data on the voyage that might affect the intake. To change these values, you need to edit the vessel in the Vessels module in master data.

Create Business Partners

  1. Open the Business Partners module in the Master Data section.

  2. Fill in all required fields listed below in the Create Business Partner window.

  3. Click Create.

Required fields:

  • Business Partner Type

  • Business Partner Name

  • Short Name

  • Business Partner Code

Click Create Business Partnerin the top right corner.

Add Bank Accounts

With a business partner drawer open, locate the section for Bank Accounts under the Financial tab.

Click the "Add" + icon and select a bank account to add the bank account to the business partner.

Add Contact Persons

With a business partner drawer open, locate the section for Contact Persons under the Main Details tab.

Click the "Add Contact Person" + icon and fill in the given fields to add a contact person to the business partner.

Maintain Business Partners

When you have located a business partner, click it and the details will show in a panel (so called "drawer") on the right hand side. Details can be maintained directly in the fields.

  • By clicking the secondary actions icon additional actions may be possible.

    • Edit Business Partner Name

    • Delete

    • Restore (if deleted)

    • Permanently Delete (if deleted)

Vessel "Speed and Consumption" data can be accessed in the top tab menu. Details can be maintained directly in the fields or from the table actions.

Find Vessel Internal Data

  1. Open the Vessels module in the Master Data section.

  2. Open the vessel drawer

Vessel "Internal Data" can be accessed in the top tab menu.

Fill in the required fields

When the above 'Create Internal Data' is created, it will be possible to access the below Internal Data page.

For "old" vessels that you have in the system that has minimum of one commenced voyage, the internal data should already be established. For new vessels, or vessels without commenced voyages, open the action menuin the top right and choose "Create Internal Data" as per below indicated.

Vessel "AIS Data and Weather Report" data can be accessed in the top tab menu.

For the tab to be enabled an AIS position has to be available.

How to enable or disable AIS-subscription

You can enable or disable the subscription to AIS-positions for a vessel.

  1. Open the Vessels module in the Master Data section.

  2. Open the vessel drawer

There is an icon on the top right corner of a vessel drawer. If the icon is light grey it indicates that the vessel has no IMO-number registered. If the icon is darker grey it indicates that it is not subscribing to AIS-positions. If the icon is blue it indicates that the vessel is subscribing to AIS-positions.

View Vessel Route from Previous Port to Next Port

In the vessel drawer on the top right side there is a small map displaying the vessels last known position. This position is retrieved from AIS-positions for vessels which are subscribing to this feature, for vessels which are not subscribing the latest position is retrieved from the latest position report entered in the system. In addition to this you can now view the route from Dataloy Distance Table from previous port to next port displayed in the same map. The route is the green line in the map.

Create a Vessel Master user

As of version Release 5.3 it is possible to introduce crew onboard to the VMS and create an efficient, "one time entry" work process in the system.

The functionality with establishing a master role involves giving them access to only their relevant port calls. In order to establish this filter for the user we need to link their credentials to their particular vessel.

Step 1: Access vessel master data screen and insert vessel user in the "Master User" field as indicated below. This action will link the vessel to the user so that Crew only see their relevant port calls in the VMS

Using Filters

Depending on your access permissions, the list of port calls might be pre-filtered based on your system user security rights. Vessel operators can quickly filter the list to only show your port calls with the quick filter called "My Port Calls"

Specialty role: Vessel User: If you are a user onboard a vessel, the list will be showing only port calls related to that vessel.

Port Call Filters

There is a new variety of filters to choose from on the Port Calls List, which makes it easier to find a specific port of interest. The standard for when you enter the list is set on "Future", which displays all of the port calls set in a future date. The Future filter itself is one out of six "Date" filter options to choose from:

Speed Order

It is possible to change the instructed speed for each port call. This is a choice limited to the vessels speed and consumption combinations only depending on the leg being in ballast or laden.

Register Arrivals

To register an arrival in a Port, open the drawer for the given Port Call by clicking it in the list. Then click the icon at the top of the drawer and select "Register Arrival". A dialog will open and allow you to enter the arrival details.

Register Noon Reports

To register a Noon Report, open the drawer for the given Port Call by clicking it in the list. Then click the icon at the top of the drawer and select "Register Noon Report". A dialog will open and allow you to enter the details.
